South-West Reticulation Terms and Conditions

1. INSURANCE

South-West Reticulation is covered by full Public Liability. Upon request, we will happily provide a copy of any Certificate of Currency on quote acceptance.

2. SAFETY

Clients are expected to maintain a safe environment and ensure all individuals stay clear of the work area. If the work must be stopped due to unsafe conditions, unauthorised access to the site, or any circumstances beyond our control, additional charges may apply.

3. LABOUR RATES, PRICING & SCOPE OF WORK

Technician Attendance

Work is carried out by one of the following:

  • Senior Technician supported by a Junior Technician

  • Senior Technician working alone

  • Junior Technician working alone for limited, pre-approved scope of works only

Most days, services are delivered by a team consisting of a Senior Technician supported by a Junior Technician. This team-based approach supports efficient service delivery and, in many cases, allows work to be completed in less overall time, which can reduce the total labour cost compared to a single technician attending alone. Solo attendance occurs on training or leave days and is determined by operational requirements. Attendance type cannot be selected or requested at the time of booking.

Where a Junior Technician undertakes approved work alone, a Senior Technician will complete a quality check, either through a site visit or other appropriate review, to ensure work meets our standards.

Labour Rates

Labour is charged based on the technicians attending:

  • Team Rate (Senior Technician + Junior Technician): $160 per hour

  • Senior Technician (solo): $120 per hour

  • Junior Technician (limited scope only): $80 per hour

Minimum Charge and Time Billing

  • A minimum labour charge of one (1) hour applies to all jobs.

  • After the first hour, labour is billed in 15-minute increments based on actual time spent on site.

The minimum charge includes site access, setup, assessment, and initial works.

Quoted Works

All quotations are valid for 30 days from the date of issue unless otherwise stated.

Quotations are based on the information available at the time of quoting and the agreed scope of work outlined in the quote. If the scope changes before or during the works due to additional requests, unforeseen issues, or site conditions, the quotation may require revision. Any changes will be discussed and agreed before proceeding.

Once a quotation is accepted, no changes can be made without written agreement.

A 40% deposit is required to confirm your booking and allow for the purchase of materials. Deposits are non-refundable once materials have been purchased or work has commenced.

If a booking is requested more than 60 days after quote acceptance, material or supplier price increases may apply. You will be notified of any pricing changes before the work is scheduled.

Same Day Repairs and Maintenance

For repairs, servicing, or maintenance completed without a fixed quote, labour and any applicable travel charges are billed in accordance with this section.

Site Conditions and Unforeseen Issues

If site or ground conditions are materially different from what could reasonably be anticipated, additional labour, machinery, or equipment may be required. Any additional costs will be explained and approved before work continues.

Travel Outside Primary Service Area

For properties located outside our primary service area, a travel charge of $1 per kilometre may apply. This charge is calculated to and from the property, per day of work, and will be clearly outlined in your quote or invoice where applicable. You can view our service area map here.

4. SCHEDULING

  • Jobs are scheduled in geographic zones to reduce travel costs and increase efficiency.

  • Scheduling typically occurs the week prior to your allocated date, and we will contact you to confirm the ETA.

  • If cancellations or gaps occur, your job may be brought forward on short notice. We will always aim to provide as much notice as possible.

  • While we aim to accommodate specific timing requests, this is not guaranteed.

  • Clients may cancel a job at any time without penalty.

  • Where jobs are scheduled for a future date beyond 60 days from quote acceptance, pricing may be reviewed to reflect any supplier or material cost increases. We will advise you of any changes before proceeding.

5. ACCESS AND PERMISSION

It is the client’s responsibility to obtain all necessary access and permissions for work to be carried out. This includes providing access keys, arranging access to council areas, and notifying relevant neighbours or stakeholders.

6. LIABILITY

South-West Reticulation is not liable for damage to underground or surface infrastructure not identified or disclosed by the client before work commences. Clients must notify us of all known hazards and call Dial Before You Dig if necessary. This includes, but is not limited to:

  • Utility lines, irrigation systems, lighting cables

  • Sewerage, stormwater infrastructure

  • Paving, driveways, curbs, soak wells

  • Edging, fences, brittle or decorative surfaces

  • Pets or live vegetation in work zones

All reasonable care is taken; however, we are not liable for surface damage (e.g., scuffing or friction marks) caused by tools, machinery, or materials due to the nature of the work.

7. FOLLOW-UP WORK

Our pricing includes reasonable follow-up within 14 days of job completion. This may include final checks, timer adjustments, or basic client support. Requests beyond this period may be considered additional work and charged accordingly.

8. CLAIMS

Claims regarding damage or service issues must be submitted in writing within 48 hours of job completion. Claims received outside this timeframe may not be accepted.

9. PAYMENT

For all services:

  • Payment is due within 7 days of invoice unless otherwise arranged in writing.

  • Overdue payments will incur a monthly account-keeping fee of 2% of the outstanding balance.

For larger projects or jobs delivered in multiple stages, milestone invoicing will apply. This structure helps cover upfront material costs and secures labour and scheduling across the duration of the job. The standard milestone structure is:

  • 40% deposit required before work begins to secure materials and confirm scheduling

  • 30% progress payment due at the midpoint of the job or upon completion of a significant milestone

  • 30% final payment due upon completion of all agreed works

10. DISCLAIMERS & LIMITATION OF LIABILITY

  • Any changes to these Terms and Conditions must be agreed upon in writing by an authorised representative of South-West Reticulation.

  • Clients acknowledge that they have not relied on any verbal representation outside of what is stated in this agreement.

  • South-West Reticulation is not liable for indirect, incidental, or consequential damages.

  • In the event of force majeure (e.g., weather, emergencies, supply chain disruptions), we will make all reasonable efforts to complete the job but cannot guarantee delivery or timing.

  • Where legally required, our liability is limited to resupplying the services or covering the cost of doing so.

  • These Terms and Conditions are governed by the laws of Western Australia and comply with the Australian Consumer Law.

11. PROPERTY MANAGEMENT AND CORPORATE CLIENTS

  • Quote acceptances must be submitted on company letterhead or via a verified email signature.

  • We will not action tenant or site contact requests without written confirmation from the Property Manager or authorised company representative.

  • Once approved, we will liaise directly with the tenant or site contact to carry out the work.

  • For large properties or where no one will be present for the quote, please provide a map or mark-up to indicate the area for inspection.
